Email Tracer AI is a private workspace tool. It records only the information needed to authenticate users, connect approved browser extensions, and show email tracking evidence to authorized workspace members.
Information processed
- Workspace identity, email address, role, session, invitation, and device metadata.
- Sender, recipient, subject, send time, and Gmail message identifiers for tracked messages.
- Tracking-pixel fetch time, client classification, coarse country and city evidence, and reason codes.
- Security and operational audit events needed to investigate access and service failures.
Security boundaries
Passwords are not sent to the service. The browser creates a one-time login proof, and the service stores password-verifier material rather than plaintext passwords. Reusable session, invitation, and device secrets are stored only as digests. Message metadata is encrypted at rest. Raw IP addresses are not stored.
Location accuracy
Country and city values are approximate network evidence. Privacy proxies, corporate scanners, relays, and automated image fetches can represent an email provider or network edge instead of the recipient. Email Tracer AI does not claim exact recipient location.
Retention and access
Tracking evidence is retained according to workspace policy, currently up to 180 days for the production service. Sessions expire after 30 days and after 7 days without activity. Workspace roles limit which tracking records a user can view.
Requests
Contact your workspace owner to request access correction, revocation, or deletion. Legal and compliance review remains the responsibility of the organization using the service.
